Once a report has been generated, it will remain in the Generate Reports tool until it has been removed. Once a report is generated you have several options for viewing and sharing.
Under the Reports section of the Generate Reports tool:
To view a report within the Generate Reports function, select the Blue Hyperlinked title of the report. Within this view of the report you will be provided several different report options as see below:
To view a report outside the Generate Reports function, select the check box located tot he right of the Blue Hyperlinked title of the report. Within this view of the report you will be provided several different report options as see below:
To better understand the available report options, we have provided a brief description of each below:
- View: Displays the report within the Generate Reports function
- Details: Displays the filters selected and other pertinent information about the report
- Download: Provides three options Spreadsheet, Spreadsheet (No Header) and PDF.
- Spreadsheet downloads the report as a .csv file within excel with detailed information about the report.
- Spreadsheet (No Header) downloads the report without the report details.
- PDF downloads the report into a PDF version for easy printing.
- Print: Print your report
- Full Screen: Shows the report full sized within your internet window.
- Email: Allows the sending of a report via Email to other members of your organization using the smart search tool or to individuals outside your organization by entering their full email address.
- Copy: Brings you back to the report details section with all of our previous selected information saved. Here you can review or edit the settings previously selected for the report.
- Move: Allows you to move the report into a folder
- Delete: Permanently deletes this report from the ran reports list.
Under the Schedules section of the Generate Reports tool:
Within this section you have several options to modify, view or unschedule reports that have been scheduled to run on a regular basis.
- See all runs: Provides you with a list of each time that specific report was run. To view, download, print, email, copy or delete each individual report, check the box next to that report and use the buttons along the top of the screen.
- Copy: Brings you back to the report details section with all of our previous selected information saved. Here you can review or edit the settings previously selected for the report.
- Move: Allows you to move the schedule in a folder. All runs will appear in the selected folder.
- Unschedule: Will remove the report from being scheduled and that report will no longer be run automatically within the Generate Reports tool.
